Devices, custody, and maintenance — one register

Every medical and ops device has a file. Hand items to staff with a transfer log. Record which device ran the session — invisible to the patient, printable for inspectors.

Clinics already tracked money and stock. What they lacked was a single place for the machines on the floor, the laptops and keys handed to staff, and the device that actually treated the patient — without putting serial numbers on anything the patient can download.

That gap is closed. One asset register covers centre devices and custody items. Maintenance plans warn before work is due and before warranties or contracts expire. Specialists can record the device used at session end. Authorised staff can print an inspector report. Patients still see the same clinical reports they always did — without device names or serials.

A file for every device

Open the assets register and add a medical or operational device. The system assigns an asset ID. Capture serial number, manufacturer, model, branch, operational status, warranty dates, SFDA registration, and typed documents (licence, invoice, warranty, contract). Print one device file or a filtered list of the whole register — Arabic RTL, print stylesheet, no broken PDF export.

Accounting fixed assets stay on the finance screen. A register device does not post a journal entry unless an accountant promotes it later.

Maintenance that warns in time

Attach preventive, corrective, calibration, or inspection plans to a device. Store the vendor, contract dates and value, and the next due date. Each completed visit rolls the schedule forward and re-arms alerts.

Four alerts fire when they should: maintenance due, maintenance overdue, contract expiring, warranty expiring. Lead times are per clinic. Running the check twice the same day does not spam the inbox.

Custody on the employee file

From the staff profile, hand over a laptop, phone, keys, or uniform — create the item inline or pick an existing one. The tab shows open items with total accountable value, history of returns and transfers, and a timeline of who held it when.

Transfer closes the old assignment and opens the new one in one step, with a single log line naming both employees. Return and status changes (lost, damaged, under maintenance) keep the trail. Offboarding warns when open custody still sits on the file.

Device used on the session — internal only

When a session completes, staff can pick the device (or devices) used. The system stores the name and serial as a snapshot on the session — so a rename later does not rewrite history. Clinics can require a device before completion; until then recording stays optional.

That data is permission-gated. It does not appear on patient share links, the patient portal, or patient-facing downloads. A separate device-usage report — filterable and printable — is for authorised users when MoH or SFDA inspectors ask.

Custody also lives on HR & Payroll. Session recording sits beside clinical work; the register and maintenance live under Accounting & Finance.
