Smart Clinic HR is now a complete people-and-payroll workspace for clinics — not a spreadsheet plus a separate payroll tool.
Employee personal and job data
Every staff record carries an employee number, Arabic and English names, joining date, work pattern, employment status, and direct manager. Status changes keep a history of who changed what and when. The staff list and Excel import include the new fields, so onboarding a team does not mean re-keying names twice.
Contracts
Create, edit, and renew contracts, and track expiry and probation in one list. The renewal chain is visible, so you can see how today’s contract sits on top of the last one. Alerts fire when a contract is about to expire — before you discover it on payday.
Work schedules and attendance
Shifts can default per section, pair with a Ramadan variant, and accept calendar exceptions. Each employee has a schedule tab: today’s shift, assignment history, and an exception calendar. Attendance is no longer a colour only — it shows the scheduled shift plus late, early-leave, and overtime minutes.
Medical insurance
Each employee has a dedicated insurance record with history and document upload. Expiry alerts appear on the HR dashboard in the same “expiring soon” area as contracts, so HR does not keep a parallel reminder list.
Permission requests (استئذان)
Staff can request short permissions. Managers and HR approve, reject, or cancel. An approved permission adjusts attendance — including days already punched. Guards block self-approval, overlapping requests, and approval into a closed payroll period.
Leave
Before submit, staff see a live preview: days, balance before and after, and estimated salary impact. Requests can carry attachments. Overlap is blocked, and the approval queue is scoped to the manager’s team. The employee record shows a full leave history timeline, and the balance card shows carry-over.
Deductions ledger
A central deductions list covers the clinic and each employee. Multiple deduction types and calculation methods come with a live amount preview. Approval posts to payroll; cancel needs a reason — there is no silent delete. The payslip shows a clearer deductions breakdown.
Violations and penalties
Disciplinary cases follow a formal path: report, review, approve, then close or cancel — with history and a stepper so nothing is informal WhatsApp. A financial penalty creates a linked payroll deduction only when the case is approved. Appeals and cancels can reverse that deduction, unless that payroll month is already paid or closed.
Governance, security, and audit
Salary, deductions, and penalties visibility is permission-based. Managers can be limited to direct reports. Soft-delete rules are tighter — paid or closed payroll items are not freely deleted. HR inbox and audit log screens cover approvals and sensitive actions. File uploads are type- and size-limited, with private access.
